USER- ID FEES AND DIAL-UP CHARGES ELIMINATED FOR RETIREES

The University was able to eliminate the charge to retirees for user-id and dial-up services because the Executive of the Faculty, Librarians and Administrators Retirees' Association agreed to assist Information Technology Services in addressing the security and resource management concerns relating to these services.

The following are the suggested procedures for the retirees' group.

1) A retiree is defined as someone who has worked for the University of Windsor until retirement and is currently receiving pension benefits.

2) The retiree is bound to follow the University's acceptable Use Policy relating to userids and use of the Internet. This means that, among other clauses, the user-id assigned to the retiree is for personal use only and that is not to be used for commercial purposes. Violation of this or any other clause in the Acceptable Use Policy is grounds for removal of the service.

3) Upon retirement, a retiree may request that his or her user-id be continued. A retiree will have, at no charge, access services which includes e-mail on the SGI, the University's web pages and the Internet as well as access to the faculty/staff dial-up facilities with access similar to faculty and staff.

4) Retirees must renew their user-id annually via e-mail to the designated staff in IT Services by the specified date. Periodically, IT Services may require that this be done in writing or in person for security reasons (i.e., to ensure that it is indeed the retiree who is using the user-id). If the retiree fails to renew the userid by the date indicated, IT Services will deactivate the userid.

5) If a retiree has not used his or her user-id for 6 months, the user-id will be deactivated.

6) The executive of the Retirees' Association have agreed to assist IT Services in controlling the computing resources and in reducing the security exposures with respect to retirees.

The Retirees' Association Executive are expected to:

explain to retirees the issues behind the need to manage the resources and the security concerns.

encourage retirees to use the dial-up service during non-peak times so that the service is more accessible to active faculty and staff. (The peak times are presently from 6 p.m. until midnight during the week.)

contact directly each retiree listed on a report which will be provided annually by IT Services, to ensure that it is indeed the retiree, and only the retiree, who is using the resource and that the retiree is using it within the limitations of the Acceptable Use Policy. The executive will inform IT Services of the results.

work with IT Services in other ways as deemed appropriate to assist the department in managing the computing resources and in reducing security risks.

7) At the onset of this agreement, retirees who have not used their userid for 6 months will have their user-id deactivated.

8) A retiree who has not renewed or whose user-id was deactivated through non-use, may have his account reactivated by submitting a request, in person or in writing, to IT Services.

9) It is recommended that the payments received from retirees for the previously assessed annual fee be placed in the Retirees' student scholarship fund and that income tax receipts be issued to the retirees unless a retiree requests that IT Services directly reimburse him or her for the amount paid. A notice to this regard will be sent to the retirees who have paid requesting that they respond with their preference by a specified date.

Refund of Fees Paid by Retirees

The University has agreed to refund the USER-ID fees paid by some 27 retirees . Yet another 14 retirees USER-ID fees were paid by the Departments who will also be reimbursed. The Secretary is providing the addresses of the above persons to the University Information Technology Services to forward the cheques.
