Executive Duties

Duties of the Executives

Chair

1. Arrange the date, time, and location of the DBGSA monthly meetings and book the room
2. Prepare and distribute agenda in advance of the meeting
3. Chair the monthly meetings
4. Act as a liaison between the DBGSA and Faculty
5. Ensure that all positions are filled, and duties are being carried out
6. Make any necessary announcements at the Graduate Seminar series
7. Attend all Departmental Council meetings



Chair-Elect

1. Attend meetings in preparation of becoming the Chair of the DBGSA the following year

2. Act as chair when the Chair is unable to attend



Secretary

1. Take minutes at each meeting, and distribute the minutes prior to the next meeting
2. Keep copies of all correspondence in an organised manner, in the appropriate location (perhaps a binder in the photocopy room?)
3. Maintain an up-to-date mailing list of all graduate students, and distribute this list to the students and faculty members
4. Take attendance at meetings and collect regrets
5. Keep a record of photocopying for all representatives and submit to the Graduate Secretary regularly
6. Submit a list of all DBGSA representatives to the Graduate Secretary following elections, or any changes
7. Keep track of incoming mail
8. Post any notices and remove notices that are related to graduate students
9. Inform all students of any meetings and seminars



Treasurer

1. Maintain the financial records of DBGSA in the appropriate location
2. Collect and disburse funds
3. Report on all activities at each meeting
