My Workspace - Overview
When you log into CLEW from the CLEW Gateway (main log-in page), you will automatically open your My Workspace. The My Workspace area of CLEW is your own personal online worksite that only you can access.
On your My Workspace, you will see:
- Message of the Day (sometimes referred to as MOTD) in the middle. This contains important message(s) from the CLEW Administrator.
- A Navigation Bar along the top, which includes the Logout link
- A menu of tools you can use in your My Workspace
- University of Windsor Help Links to:
- This CLEW Help wiki
- Leddy Library
- Your Comments? Your Comments? Give the CLEW Team your feedback about what you like and don’t like or what works for you and what doesn’t. Your comments help the Team assign development efforts.
- Ask for Help! Ask the IT Services HelpDesk for help with a CLEW problem.
- Distance Ed SET to fill in the Student Evaluations for Teaching at the end of an online semester
- Copyright Help for information about copyright and how you can set the copyright status on materials you upload to CLEW.
- Copyright Clearance A new piloted service available online through the Leddy Library to clear copyright on protected materials to be used for classroom instruction.
- Users Present. Under the University of Windsor Help Links you will see a list of users present within this site. Your name should be the only one ever displayed in your My Workspace.
- My Workspace Information box. This contains information from the CLEW Administrator.
- Forums Notifications. To see if someone has added a new forum posting to one of your sites, go to your Home page in My Workspace. Under "Forum Notifications", you'll see a list of your sites, and the number of new messages and forum postings for each. If there are no new forum postings, you'll see "none" beside your site. (Sites in which Forums is not turned on will not appear in the list.)
- Calendar This is a quick view of your My Workspace’s Calendar, which is an aggregate of all the Calendars of all your sites as well as any personal items you have added.
- Recent Announcements. An aggregate of Announcements from all the sites to which you are a member.
Key Concepts
Features: In "My Workspace", you can perform various tasks, including:
- Posting files in your own private Resources tool
- Viewing an integrated Calendar for all sites in which you participate
- Viewing Announcements from all your sites
- Creating your own private Calendar items
- Viewing and editing a list of all sites you belong to in Worksite Setup
- Revising sites you own by adding users or changing tools
- Choosing how you would like to be notified of new or changed items on sites you belong to in the Preferences tool
- Adding yourself to publicly joinable sites with the Membership tool.
- In "My Workspace", you can print a PDF file of all your "Calendar" events for the day, week, or month.
- You can save drafts or backup copies of work in progress in My Workspace Resources.
Considerations
Your Browser's Back Button
The application is designed to function independently of your browser buttons. If you change your mind about a task, such as posting a syllabus or a resource item, you need to rely on the buttons within the application to cancel the action instead of your browser's Back button. If you click the Back button before completing a task, then the next time you try to use that tool you may return to the uncompleted task; if this happens, you will need to click Cancel before you can do anything else in that tool.
Also, you might unintentionally lock yourself out by using the Back button, so that you and other people (with equivalent roles for the site) are unable to use the tool. If this happens, you can try to clear the lock by clicking the reset button
. If this doesn't work, log out and wait at least 20 minutes before logging back in.
- In the navigation bar along the top of the screen, you will see the My Workspace tab at the left and the My Active Sites tab on the right and tabs in between (you can adjust the number and position of the tabs using the Preferences link. You can customize which sites appear on these tabs (see Customize Tabs in Preferences).
- To access one of your course or project sites, click the tab containing the site or click theMy Active Sites tab and then click on the name of the site you want to open. If you have not hidden any site (see Preferences) then the sites listed in My Active Sites, are all the sites you have access to.
- The tabs in the middle are sites from your My Active Sites list. You can click on the tab to open the course or project site that is named on the tab.
- At any time, while working in a course or project site, you can return to your My Workspace by clicking the My Workspace tab.
- On the far right, you will see a Logout link. Be sure to click this link at the end of every session.
Customizations
Message of the Day
Only the CLEW Administrator can modify the contents of the Message of the Day box, but you can customize how messages display in the window and how many messages appear. To customize the Message of the Day (MOTD) display:
- Click Options.
- You can choose to show only the subject of the recent (MOTD) announcements. (Show announcement subject) or show the entire text of the announcements (Show announcement body). Additional options for displaying announcements include how many lines to display, how many days in the past to display announcements from, and the number of announcements (the CLEW Team suggests three is a useful number of announcements). Enter or choose your desired options in the boxes provided.
- Click Update.
My Workspace Information
The My Workspace Information window contains information from the CLEW Administrator. You can change the title of the window and change the window’s display height.
- Under My Workspace Information, click Options.
- Make the desired changes under Customize My Workspace Info Display.
- Click Update Options.
Customize the Calendar (Synoptic)
The Calendar that displays on the right side of the screen is a synoptic view of the Calendar tool accessible from the left menu. To add or change entries on this calendar, access the tool by selecting Calendar in the left menu. The functionality is the same as found in the Calendar tool for every site.
To Customize the Calendar Display
- Select Options under Calendar (when viewing it in My Workspace, lower corner).
- You can change the Calendar’s view by selecting from the View drop-down list.
- If you want to mark a certain type of event as Medium priority, select the event type from the Low priority box, then click the Move up button directly above the Low priority box. To mark the event type as High priority, select the event from the Medium priority box and then select the Move up button direct above it. The opposite effect is also true using the Move down buttons.
- To highlight days with High priority items, select the colour palette icon to the right of High priority: and select a colour. Any day with events that you have selected to be High priority will be highlighted with the colour you have selected. You may do the same for Medium priority and Low priority events.
- Select Update to finish. These changes will only appear in your My Workspace Calendar.
View Recent Announcements
The Recent Announcements window that appears on the right side of the screen is a synoptic view of the Announcements tool accessible from the left-hand menu.
- To view an announcement, click on its subject. Select Return to List when you are finished.
- You may select how many announcements display by selecting from the show drop-down menu.
- To view the next or previous list of announcements, use the arrows to the right and left of the show menu.
My Workspace Tools
Below the Navigation Bar and on the left-hand side of the screen you will see a menu containing the tools available to you in My Workspace. A brief description of what each tool follows. Some of the tools below will a link to an expanded article about that tool.
Home
Takes you to your My Workspace main landing page.
Account
The Account tool of My Workspace displays information about your account. You cannot change any of this information. Only the CLEW Administrator can edit your account details.
Membership
- Lists the sites to which you belong, allows you to join “joinable” sites and “unjoin” sites.
- My Current Sites - You can enter any course or project site where you are enrolled by clicking the name of the course.
- Joinable Sites - The sites listed here are all open-enrollment sites where anyone interested can enroll. Click join to add yourself to these sites.
By default, you will receive email notification about announcements, email, and resources that are posted to sites to which you belong.
You can change your notification preferences so that you receive this notification as a daily digest, or you can block these messages.
Search for a Particular Site or Group of Sites
- Enter your search terms in the Search box.
- Click Search. Simply pressing Enter will not initiate the search.
- Click Join to join the site you were searching for.
- After you click Join, you will get the following message: "There are no joinable sites matching your search of 'search term'", where "search term" represents the search term(s) you entered. However, you will see the site you just joined if you click - more - at the top of the page.
To Unjoin a Course or Project Site
In the My Workspace, Membership tool:
- Under "My Current Sites", you'll see a list of all the sites to which you belong. (This includes sites you have joined, and sites that you have been added to as a participant by the creator of the site.)
- If you'd like to unjoin any of them, click Unjoin.
Profile
Use this tool to manage information others see about you in the system, your Public Information and Personal Information. See the My Workspace Profile article to find out about the methods and functions available within this tool.
Preferences
Use to set your preferences on how you would like to view the tabs in the Navigation Bar, receive notifications about new postings from sites in which you belong, and adjust time zone settings.
- Preferences - Make sure you click Update Preferences after any changes you make.
Customize Tabs
The courses in which you are enrolled are displayed as tabs across the top of the My Workspace page. You can edit how many and in what order these tabs appear. You can also decide if you want to hide any sites from appearing in "My Active Sites." You can always access those sites through the Membership link.
The first three sites listed appear in their own tabs along the top. Use the up and down arrows on the left to move your desired sites to the first three positions.

Notifications
Almost every action performed within a CLEW site has the option to "send an email" notification of the action. Here, you can manage how you receive some of these email notifications from the following tools:
- Announcements
- Resources and Drop Box
- Syllabus
- Site Mailing List
Notification Methods
- Receive each notification separately: You receive email notification each time that an Announcement is posted, a Resource is added, or email is sent.
- Receive one email per day: Individual Announcements, Resources, Syllabus activity, and/or mail messages are bundled into a single email message and sent to you daily.
- Do not send me low priority notifications: You receive no notification regarding low priority site activity.
Remember to click Update Preferences after you've made your selections.
Notifications Consideration
- You cannot have different preferences for individual sites. For example, if you change your Site Mailing List notification to "daily digest", you will get a daily email message from each of the sites to which you belong. Or, if you choose to block Announcements, notifications about low priority announcements will be blocked for all sites to which you belong.
- High priority notifications cannot be blocked. If you send a high priority notification, it is delivered immediately to all of your site's participants.
Time Zone
Since Calendar entries, due dates, submission times, etc., are recorded in CLEW sites, you will need to make sure your time zone is accurately recorded. The default Time Zone is Canada/Eastern, the time zone where CLEW is located.
- When a time zone gets changed, it alters the way a user may interact with the system in terms of when items get entered, such as Resources or Forum postings. Therefore, this message appears if the Time Zone option is entered for editing.
- "If you would like to maintain time zone consistency among dates reported by both CLEW and your instructor, we recommend you remain with the default setting of "Canada/Eastern".
While CLEW tools will display dates based on the timezone you have selected in this view, it cannot convert dates that are created by a user (e.g., an Instructor or a Student). Dates created by a user may include items such as content contained within an Announcement, a Syllabus entry, a Forums or Discussions post, or within an attached file such as a Word document".
- "If you would like to maintain time zone consistency among dates reported by both CLEW and your instructor, we recommend you remain with the default setting of "Canada/Eastern".
Language
Several languages (but not all) are available. If you choose a different language, the text displayed in the CLEW sites where you are enrolled will be displayed in the chosen language. This does not affect the content posted by instructors. That content will be in the language used by the creator of the content.
Calendar
Provides an aggregate calendar of all the events, due dates, calendar subscriptions and attachments of the calendars of all the sites to which you are a member. Can be used to track appointments and other personal items as well. This tool functions like the Calendar tool in individual sites. See the Calendar articles to find out specific methods available within this tool.
Announcements
Shows an aggregate of recent announcements from all course and project sites in which you are a member.
Resources
In the Resources area, you can store personal files. You may choose to arrange your Resources area into folders based on different interests, or different assignments, classes or projects – it's up to you. This tool functions the same way as Resources does in all sites. See the Resources articles to find out more specific methods of using this tool.
Wiki
Use to create Web pages that are easy to add, edit and delete for your view only. See the Wiki article for functions and methods available in the Wiki tool.
Site Editor
Provides information about your site. Use this tool to make changes to information about the site and tools available in your My Workspace.
Worksite Setup
Provides information about the sites to which you currently belong or may join. If you have a role that allows it, you can use this tool to make changes to information about the site, tools available in the site, manage and create groups, manage access to the site, import from one site to another and change the status or remove participants.
Worksite Setup provides a link through to each site's Site Editor tool (by selecting the checkbox beside the site) and then selecting the Edit link. The Delete link is only available to the LMS Administrator.
Although you can check multiple boxes, you can edit information about only one site at a time.

Help
You will find the help files that are standard within the CLEW tools. These are the same searchable help files that you see when you click the blue question mark throughout CLEW
Adding a Web Content item to My Workspace
To add a Web Content item to "My Workspace", check the box next to "My Workspace". To add a Web Content item to one of the sites that you manage, check the box next to the site's name. This tool operates the same way that the Web Content tool does in each individual site. See the Web Content article for further methods and functions available with this tool.
News
This tool can embed an RSS link to a News feed in the left menu of your My Workspace. The tool operates the same way as the News tool available in other sites. To find out more about functions and methods available select the News article.
FAQ – My Workspace
How do I . . .?
Not only can you change which sites appear in the tabs between the My Workspace and My Active Sites tabs, you can change the number of tabs that appear.
By default, you will see up to three tabs between the "My Workspace" tab and the "My Active Sites" tab. To change that number:
- Select Preferences in the left-hand menu of My Workspace.
- Select Customize Tabs in the grey menu bar.
- In the text box beside Tabs displayed you will see the number "3". Change that to the number of tabs to appear between the "My Workspace" tab and the "My Active Sites" tab.
- Select the Update Preferences button at the bottom of the page. You may need to refresh your browser window to see your changes.
Customize tabs?
You can change which sites appear in the tabs along the top of your screen.
- In My Workspace, select Preferences from the left-hand menu.
- Select Customize Tabs. You will see all of your Active Sites in the list on the left. The first three sites listed appear in their own tabs along the top. Use the up and down arrows on the left to move your desired sites to the first three positions.
- When you are finished making your changes, select Update Preferences. When you refresh your screen, the changes will appear in the tabs.
Change the names on tabs?
Unfortunately, you can't change the names / course numbers that appear on your tabs in your site currently. Here are a few of the reasons why:
- We have numerous courses / offerings with identical titles and it would be impossible for students in those courses to tell one from the other.
- We also have to consider our instructors who might be teaching 5 sections of the same course.
- We have a few course titles that are unusually long and they too would lead to usability issues.
The CLEW Team has been made aware of the numerous requests about this issue and if the Sakai community comes up with some interface customization options that address this, we will certainly explore that when the time comes.
Change CLEW email preferences?
You can control the amount of CLEW emails that you receive.
- In your My Workspace, click on Preferences on the left-hand menu.
- Select Notifications from the grey menu bar.
- Under Announcements in the Notifications screen, select the option you prefer.
- Scroll down and click Update Preferences.
IMPORTANT: Changes you make in your "Preferences Notifications" will affect how you receive messages from ALL your sites.
General and Urgent CLEW announcements will continue to be sent to everyone as "high priority" announcements and will not be affected by your setting selection in "Preferences".
